Why UK eBay sellers need a different tracker

Most “eBay profit tracker” pages are written for the US: 1099-K, a 13.6% final value fee, dollar signs, and a calendar year that ends in December. UK selling has a different pile of leaks.

Fees split private and business. Since late 2024, UK-based private sellers often pay no final value fee on everyday domestic sales. Business sellers pay a category rate (commonly around 11.9% to 12.9% of item plus postage, with tech lower and jewellery higher), plus a per-order fee, plus VAT on those fees if you cannot reclaim it. A US template that knocks 13.6% plus $0.40 off every sale is wrong for both groups.

VAT sits on the fee. UK VAT of 20% is payable on eBay's charges. If you are VAT-registered on the standard scheme, you reclaim it. If you are not, it is part of the cost of selling. A sheet that copies a US “fee %” and ignores VAT will lie in either direction.

Postage is a bigger slice of a £12 charity-shop sale than of a $200 US part. Second class, tracked, a trip to the post office, and “free postage” listings priced into the item are where UK margins go to die. A tracker that treats postage as optional is a US product wearing a pound sign.

The tax year is 6 April to 5 April, not 31 December and not 30 June. If you rebuild the year in April from Seller Hub and Royal Mail receipts, you will miss refunds that landed in March and costs you never tagged. On a £40 item with £5 postage collected from the buyer, a business seller is not looking at £40 of profit. The fee is calculated on the total. What we will say plainly:

  • If you source to resell, HMRC generally treats that as trading, not a hobby with extra steps.
  • There is a £1,000 trading allowance. Whether you use it instead of deducting expenses is a choice with rules. We do not press that button.
  • VAT registration is a turnover threshold you confirm with HMRC. Under it, you typically do not charge VAT and you typically cannot reclaim VAT on eBay fees. Over it, you have a registration job and a return.
  • eBay reports activity. Hoping the platform stays quiet is not a strategy.
  • You pay tax on profit, not on gross sales. That only helps if you can prove costs.
